Markdown versions of documentation pages are available by appending `.md` to page URLs; this page is available as [Markdown](https://eventmate.gitbook.io/eventmate-guide/live-auction-dashboard.md). # Live Auction Dashboard The **Live Auction Dashboard** is designed for use during your event by volunteers, spotters, or staff managing live auction activities on-site. The dashboard provides a mobile-friendly experience that can be opened on a phone or tablet, allowing your team to quickly collect bidder information, display payment QR codes, and manage payment collection without needing to access the event backend. To provide dashboard access: 1. Navigate to **Live Auction Dashboard** (top right corner in the Live Auction Item tab) 2. Enable dashboard access 3. Copy the generated link 4. Share it with approved staff, volunteers, or spotters > **Important:** If dashboard access is disabled and re-enabled, a completely new access link will be generated. Previous links will no longer work. Once your event has concluded, disable dashboard access to prevent future access.

### 📱 Dashboard Overview The Live Auction Dashboard displays: * **All Items** – Displays every auction item. * **No Bids** – Items waiting for final winning bid confirmation. * **Unpaid** – Winning bids recorded but payment still outstanding. * **Paid** – Successfully completed payments. Staff can quickly search for auction items using the search bar. ### 📋 Recording Winning Bids If **Onsite Bid Entry** has been enabled by the event administrator, staff or spotters can enter winning bid amounts directly from the dashboard. To record a winning bid: 1. Locate the auction item 2. Select **Place Winning Bid** 3. Enter the final winning amount 4. Save the winning bid Once confirmed: * The item status updates automatically * Payment collection options become available * The item moves through the dashboard workflow ### 💳 Payment QR Code Once a winning bid has been recorded, staff can select **Payment QR Code**. A payment QR code will appear on screen. To collect payment: 1. Show the QR code to the winning bidder 2. The bidder scans the code using their mobile device 3. They are directed to a secure payment page 4. The bidder completes payment using their preferred payment method

Supported payment methods may include: Credit Card | Debit Card | Apple Pay | Google Pay | Other supported mobile wallet options This allows payment collection without requiring: * POS terminals * Square devices * External card readers Staff only need a phone or tablet to process auction payments. A payment link is also available and can be copied manually if needed. ### ℹ️ Collecting Bidder Information Staff can collect bidder details directly from the Live Auction Dashboard or the admin can enter through the backend. Required information: * Bidder Name * Bidder Email * Bidder Phone Number Optional information: * Company Name #### Available actions: * **Save Details:** Stores bidder information in the system for future follow-up. * **Save Details and Email Payment Link:** Stores bidder information and immediately sends the payment link to the winning bidder. ### 🤹 Managing Bidder Information Bidder information collected through the dashboard is stored within the event. > **Important:** Bidder information entered through the Live Auction Dashboard cannot be edited from the dashboard itself. If updates are required, event administrators can edit bidder information directly from the Live Auction backend. ### 💻 Backend Payment Collection All payment collection options available on the Live Auction Dashboard are also available directly from the event backend (except QR code). Administrators can: * Copy payment links * Collect bidder information * Email payment links * Update bidder details * Monitor payment status This provides flexibility for both on-site staff and backend administrators managing the event.
